Application and Listing Statuses
Understanding what each status means helps you track applications through the Rentzap processing pipeline and know exactly when action is needed from you.
Application Statuses
Applications move through these statuses as they progress through the processing. They're organized here in the typical flow from start to finish.
Active Processing Statuses
Started Applying
The applicant has begun filling out an application but hasn't submitted it yet. These are potential opportunities for follow-up if you want to encourage completion.
Submitted Application
A complete application has been received and is in the queue for processing. Applications are processed in the order received (FIFO - first in, first out).
Reviewing Application
Our underwriting team is actively processing this application. We're verifying income, checking for fraud, reviewing documents, and running all necessary checks. Only one application is reviewed at a time.
Requested More Information
We've identified missing information or unclear documentation and are following up with the applicant. No action needed from you - we handle all communication to get what's needed.
Decision Point Statuses
Meets Criteria
The application has passed our underwriting review and meets all qualification requirements. It's now ready for your final business decision. You can approve or deny based on your needs.
Criteria Not Met
The application did not pass underwriting requirements based on your listing criteria. These automatically move to "No Longer Active."
Final Decision Statuses
Approved
You've made the final decision to accept this applicant as your tenant. They've passed underwriting and you've confirmed them for the unit.
Denied
You chose not to move forward with this applicant. This could be because you selected another qualified applicant, the property is no longer available, or other business reasons.
Inactive Statuses
Withdrawn
The applicant decided not to proceed with their application.
Abandoned
An application that was started but never completed or applicant's stop responding to requests for more information.
Listing Statuses
Your listing status automatically updates based on application activity, giving you instant visibility into where each unit stands in the leasing process.
Active
No applications are currently in review, but your listing is live and accepting applications. This is your standard "open for business" status - the property is visible to prospects and ready to receive applications.
App in Review
An application is currently being processed by our underwriting team. The listing remains live and continues accepting applications, but you know active vetting is happening. Only one application can be in review at a time due to our FIFO processing.
Pending
You have at least one application that meets criteria and is waiting for your final decision. This is your signal that the ball is in your court - qualified applicants are ready for your approval or denial.
Closed
The listing has reached a final state. This happens when you've approved a tenant and they're moving in, or when you've closed the listing prematurely for other business reasons (property no longer available, owner decided not to rent, maintenance issues, etc.). No new applications are being accepted. Applicants in the queue who have not been processed have the opportunity to be refunded or apply for a different listing.
Key Decision Points
When an application shows "Meets Criteria" → Your action needed: Approve or Deny
When an application shows "Criteria Not Met" → No action needed: We send Adverse Action notice.
